Eligibility

If you have a MyID, then you have probably have access to UGAMail. Certain types of exception accounts and WebCT test accounts are not eligible for an UGAMail account.

  • All faculty, staff, and students at UGA are eligible for an UGAMail account free of charge

Those using UGAMail accounts must comply with the University of Georgia Policies on Use of Computers as well as the policies specific to the use of UGAMail. These policies are binding on you as a UGA faculty, staff or student even if you haven't read them.

Account Quotas

Faculty/Staff Quota = 50 MB

Student Quota = 20 MB

When you're logged into UGAMail Webmail, the header at the top of your Inbox will display the Quota status bar. Additionally, the Quota status bar tells you what percentage of your disk space is full. Each UGAMail account is allocated a certain amount of disk space; you can see how close you are to reaching your limit with the quota status bar at the top of your Inbox. Once it reaches maximum capacity, messages are returned to their senders. For this reason, it is good practice to clean out your folders on a regular basis, deleting messages that are outdated or have otherwise served their purpose.

You can also check your quota while logged in to UGAMail Webmail by selecting the OPTIONS link from the menu items. You'll see something like the example below where your QUOTA and amount USED are listed.

The size limit on any e-mail attachment sent from or received by an UGAMail account is 30 MB.

UGAMail Usage Policies

First and foremost, The University of Georgia Policies on Use of Computers applies to your use of UGAMail. Violations of these policies incur the same types of disciplinary measures as violations of other University policies or state or federal laws, including criminal prosecution in serious cases. Some of these policies are listed below:

  • Users are strictly forbidden from sharing their account or password with anyone. In fact, giving your password to an unauthorized person can be a crime under Georgia law. The criterion is not whether you trust them, but whether the University has authorized them to use that account.
  • Users shall not misrepresent their identity in e-mail or any UGAMail correspondence.
  • Users shall take full responsibility for messages that they transmit through UGAMail. No one shall use UGAMail to transmit fraudulent, defamatory, harassing, obscene, or threatening messages, or any communications prohibited by law. Violations will be immediately reported to the University of Georgia's Incident Handling Team.

UGAMail Mass Mailing Policy

The purpose of the UGAMail Mass Mailing Policy is to facilitate the legitimate needs for University units to communicate with large groups of users while simultaneously complying with University Computer Use Policies (available online at http://www.uga.edu/compsec/use.html). While any use of UGA computing facilities is subject to all UGA computer use policies, the following two are particularly applicable for mass-mailings:

(5) All users shall share computing resources in accordance with policies set for the computers involved, giving priority to more important work and cooperating fully with the other users of the same equipment.

(18) Electronic mail (e-mail) is intended for communication between individuals and clearly identified groups of interested individuals, not for mass broadcasting. No one without prior authorization shall use the University's facilities to distribute the same or substantially the same e-mail message to more than one person without prior evidence that they wish to receive it …

It is legitimate for University organizations to send announcements to all their members by e-mail. Likewise, it is legitimate for the University to send bulk e-mail for official purposes, including disseminating administrative notices, notifying students of educational opportunities, or otherwise carrying on the work of the University. This does not include mere advertising or solicitation. The distinction is sometimes subtle. For instance, it is appropriate for a department to use e-mail to notify all its faculty and students of a new course; it is not appropriate for a department to mass-mail the entire campus to try to get people to attend a concert. As a rule of thumb, the larger the intended audience, the more important the notice needs to be.


To manage the finite resources available for all UGAMail users, the following Policies are in effect for mass mailings to UGAMail:

1. All mass mailings must contain a valid "Reply-To" and "From" e-mail address. This must be the address of a responsible person who can address any questions or comments from recipients of the mailing. EITS is not responsible for answering questions about mass mailings and will refer all queries to the responsible person. The e-mail account that will receive queries should have sufficient disk storage to handle any questions or other correspondence from recipients of the mass mailing.
2. Should a mass mailing have a significant impact on other users of UGAMail or the campus network, EITS reserves the right to request a temporary halt of a mass mailing until sufficient network/computer resources are available.

Additional Policies Specific to the use of UGAMail

UGAMail is designed to provide the e-mail services available from EITS supported secure IMAP e-mail software, and the UGAMail Webmail interface. EITS support is limited to these applications.

If your UGAMail e-mail disk space becomes full, UGAMail will not accept any e-mail that is sent to you and it will be returned to the sender.

You will receive an e-mail notification only when your disk space is over capacity. You can check your quota from UGAMail Webmail by selecting "Options" which opens the "Access Control" page. Your "Quota" and amount "Used" are listed there.

EITS does not maintain backups of your personal disk space and it is your responsibility to keep backups of any files that you consider important.

A single UGAMail e-mail or login session is limited to 4 continuous hours. This includes a single IMAP session or a single login session.

If you are the administrator of other server systems, you shall not forward administrator e-mail to your UGAMail account.

As is the case with all computer systems, UGAMail will occasionally be unavailable for maintenance or upgrades. Whenever possible, reasonable notice of downtime will be provided via the UGAMail Homepage or http://status.uga.edu.
